What Is CRM Record Selection?
SalesLoft logs an activity to a Salesforce Lead or Contact record based on their particular email address by default. However, for certain instances, you may need to log that Salesforce data to a different record or even on an alternative object. This is where CRM Record Selection comes into play.
Let's say you have multiple opportunities that relate to a Person, but only one is relevant for a particular activity. Logging to an alternative record allows you to choose the exact Salesforce record where that activity will log. This will ensure your activity history is recorded into Salesforce in whatever manner that you and your organization prefer.
CRM Record Selection relies on defining the "Who" and "What" in Salesforce:
- Who: The Salesforce Lead or Contact record tied to the Person record in SalesLoft will be selected by default.
- What: If the Person is tied to a Salesforce Contact and that Contact is related to an open Opportunity in Salesforce, that Opportunity will be selected by default. In the event there are multiple open Opportunities, the most recently modified Opportunity will be selected as the default.
CRM Record Selection - Email Activity
To log email activities to different Salesforce records, follow these instructions:
1. Open a new email in SalesLoft.
2. A grey bar will appear beneath the Subject line of the email compose window. This bar will let you know where in Salesforce the email is going to log.
- Thing to Note: In the event that there is both a Lead and a Contact in Salesforce with that email address, we select the default Salesforce record (Contact or Lead) based on the "Linking People to Salesforce" selection the team admin has selected under Salesforce Connector Settings.
3. There are two options to access the Edit Log To window:
- Click the Edit button on the far right of the grey bar.
- Select the Log To button on the bottom toolbar.
4. The Log To pop-up window will populate any Salesforce matches tied to the record. The records will be divided between the following options:
- Name: Shows any Lead or Contact records tied to the email address.
- Related To: Shows any related Account or Opportunity records tied to the email address.
5. Click the X on the right side of a dropdown to remove the current record. Removing the record allows you to search for any Salesforce record to link to. Search and use the dropdown to find the record you're looking for.
6. Select the record you want.
7. Click Confirm. SalesLoft will remember the record(s) and use them as the defaults for future messages to this Person (unless they are edited again).
8. Send the email.
You can also log to an alternative record when Lofting an email from Gmail, Outlook for Windows and Mac, and Outlook Office 365.
CRM Record Selection - In-App Dialer (Coming Soon)
To log call activities to different Salesforce records, follow these instructions:
Things to Note: CRM Record Selection for calls applies to the in-app Dialer only.
1. Start a call by open the Dialer from a Person Profile page or from a Cadence. This will open the Dialer and the Call Log box.
2. A grey bar will appear at the top of the Call Log box. This bar will let you know where in Salesforce the email is going to log.
8. Complete the rest of your call notes and log the call. The activity history for that Person will indicate which Salesforce record a call logged in the SalesLoft application was associated with.
CRM Record Selection - Meetings Booked on Demand
CRM Record Selection for meetings allows you to control where your meetings will be logged in Salesforce.
CRM Record Selection for meetings is available when the CRM Record Selection setting is enabled on the team level.
Things to Note: CRM Record Selection for meetings only applies to meetings booked on demand. It does not apply to insert availability.
When you go to book a meeting, the grey bar at the top left of the module indicates which Who (Lead/Contact) and What (Account/Opportunity) record the meeting will be logged to in Salesforce.
To edit the records selection, follow these steps:
1. Go to the Profile page of the Person you want to send the meeting invite to and click Book a Meeting from the Quick Actions or the Meetings tab in the Activities panel. The Book a Meeting module will open.
2. In the upper left corner of the module, click the Edit button in the Logging Activity section. This will jump to the Edit Log To options in the side panel.
3. Pick the correct "Who" for the record to log to (if applicable). Select the link with the number of matches in the Name field. This will open the list of all Lead and Contact records in Salesforce tied to the email address.
4. Choose the "What" from the Related To field. Click the link with the number of matches in the Related To field. This will open the list of all Account and Opportunity records in Salesforce related to the selected Contact.
- Things to Note: You are not allowed to select the Related To record if a Lead is selected in the Name field.
5. Once the correct records are listed, click Confirm.
The activity history for that Person will also indicate which Salesforce record a meeting was logged to.
